The Tender & Administrative Coordinator is responsible for managing tender documentation, handling government submissions, coordinating with regulatory bodies, and ensuring smooth financial and administrative operations. The role involves frequent liaison with ministries, banks, and suppliers to ensure timely processing of tenders, invoices, and certificates.
Responsibilities
Monitor tender portals and publications for new opportunities.
Analyze tender documents (ISO/QA/QC) and identify requirements.
Prepare accurate and timely tender submissions in line with compliance and deadlines.
Coordinate with internal departments to gather technical, financial, and legal information.
Manage tender samples, certificates, and submissions with MOH and Drug & Food Control.
Follow up on evaluations, clarifications, and awarded results to identify improvement areas.
Maintain organized tender records, logs, and tracking databases.
Conduct pricing evaluations and support management with competitiveness assessments.
Support product and الشركة documentation required for regulatory submissions.
Establish structured document control workflows including filing, version control, and approvals.
Ensure documentation accuracy, accessibility, confidentiality, and compliance with policies.
Prepare and provide documents for audits, retrieval requests, and internal reporting.
Process supplier invoices, verify product information and HS codes, and coordinate with authorities for document release.
Collect cheques and perform banking tasks related to tender settlements.
Handle administrative tasks associated with tender, documentation, and regulatory operations.
Required Experience
Previous experience in Medical Tendering and Regulatory workflows is required.
