Job Description
We are currently seeking a highly organized and proactive Administration & Tender Coordinator to join our team in الكويت. This role is critical in supporting our commercial and operations functions, particularly in handling tender submissions, document control, and administrative coordination for major clients such as KOC and KNPC.
Key Responsibilities
Maintain and update the master tender list and tender participation tracker.
Download, organize, and manage tender documents from client portals (KOC, KNPC, etc.).
Coordinate internal documentation and approvals for timely tender submissions.
Submit online and offline tenders in compliance with client requirements.
Track and manage all bank guarantees (PBGs / IBGs), including expiry and release coordination.
Maintain organized filing systems for all الشركة documents (hard and soft copies).
Follow up on outstanding invoices and support payment tracking.
Coordinate document signatures and communication between departments.
Prepare official letters, reports, and meeting minutes.
Handle correspondence with clients and internal teams.
Requirements
Minimum 3–5 years of experience in administration, tender coordination, or document control.
Experience with KOC / KNPC tendering systems is highly preferred.
Strong organizational and time management skills.
High attention to detail and ability to meet deadlines.
Proficiency in MS Office (Excel, Word, Outlook).
Good communication skills in English (Arabic is an advantage).
Preferred Profile
Experience working in oil & gas, contracting, or industrial supply companies.
Familiarity with government tender procedures in الكويت.
